# Settings — How-Tos & Workflows

Most of Settings can only be changed by an **Admin**. Other roles can open
these pages and see the current settings, but can't save changes.

## Update your firm's profile

1. Go to **Settings › General**.
2. Under **Firm profile**, edit the firm name, legal entity name, firm type,
headquarters, website, investor relations email, or logo.
3. Save.

The firm name is also your organization's name, so changing it updates the
organization switcher too. The profile is shown on every document Cairn
generates.

## Set your reporting defaults

1. Go to **Settings › General**.
2. Under **Reporting defaults**, choose:
   * **Base currency** — the currency amounts are shown in by default.
   * **Number format** — for example 1,234,567.89 or 1.234.567,89.
   * **Date format** — for example Oct 14, 2026, 14 Oct 2026, or
     2026-10-14.
   * **Metrics on dashboards and LP reports** — which of IRR, MOIC, TVPI,
     DPI, and RVPI to show.
   * **Fiscal year end** and **time zone**.
3. Save.

The change applies across Cairn for everyone in your firm.

> ⚠️ \[NEEDS REVIEW] Fiscal year end and time zone are saved but don't yet
> change how anything is displayed or calculated.

## Choose the AI provider for Cairn Intelligence

1. Go to **Settings › General**.
2. Under **Cairn Intelligence**, pick the AI provider used for screening
notes, diligence briefs, financial extraction, investment theses, IC
   memos, and reading financial documents.
3. Save.

## Add or edit a fund

Needs the **Manage funds** permission (Admin).

1. Go to **Settings › Funds**.
2. Click **Add fund**, or open an existing fund to edit it.
3. Enter the fund name, vintage, committed capital (in the fund's own
currency), currency, and status (Fundraising, Investing, Harvesting, or
   Closed).
4. Click **Save fund**.

## Set up portfolio KPI alerts

Admins only.

1. Go to **Settings › Notifications**.
2. Under **Portfolio KPI alerts**, switch each alert on or off and set its
   threshold:
   * **Runway below** — in months (default 6).
   * **Revenue down by more than** — percent (default 10).
   * **Monthly burn up by more than** — percent (default 25).
   * **No new figures for more than** — months (default 3).
3. Click **Save**.

Everyone in the firm can see these settings; only Admins can change them.
Changes are recorded in the audit log.

> **Example: a firm that wants earlier warning.** A firm investing in
> early-stage companies wants to hear about runway problems sooner, so an
> Admin raises **Runway below** to 9 months, and turns off **Monthly burn
> up by more than** because its companies' burn swings with hiring. From
> then on, the bell flags any company with under nine months of runway.

## Invite a colleague

1. Go to **Settings › Team**.
2. Under **Invite a colleague**, enter their work email.
3. Choose their **role**.
4. Choose their **fund access**: **All funds**, or specific funds.
5. Click **Send invite**.

They receive an email invitation. Until they accept, they're listed as
**Invitation pending**, and you can revoke the invitation from its row.

## Change a member's role or fund access

1. Go to **Settings › Team**.
2. Find the member (you can search by name or email).
3. Change their role from the role menu on their row, or open the row's
menu and choose **Edit fund access**.

## Remove a member

1. Go to **Settings › Team**.
2. Open the member's row menu and choose **Remove member**, then confirm.

You can't remove yourself, and you can't remove the firm's last Admin.

## Set your firm's sign-in policies

1. Go to **Settings › Security**.
2. Under **Sign-in**, set:
   * **Require two-factor authentication** — members without it are asked
to set it up at their next sign-in.
   * **Session timeout** — members are signed out after this long without
activity (1 hour up to 7 days).
   * **Allowed email domains** — only people with these email domains can
be invited. Leave it empty to allow any domain.

Single sign-on (SSO) and an IP allowlist are shown with an **Enterprise**
label and aren't available to set up yet.

## Sign out another device

1. Go to **Settings › Security**.
2. Under **Your active sessions**, find the device and click **Sign out**.

## Export all your firm's data

Admins only.

1. Go to **Settings › Security**.
2. Under **Your data**, click **Export all data**.

You get a ZIP file containing your funds, deals, documents, and reports.
Uploaded document files are listed in the export, not included in it.

## Read the audit log

Admins only.

1. Go to **Settings › Audit log**.
2. Filter by event type if you need to, and click **Load more** to see
   older events.
Pick **LP portal** to see who was invited to LP portals, what was
shared, and every document an LP downloaded.
3. Click **Export CSV** to download the log.

## Create an organization or switch between them

* To switch, open the organization switcher at the top of the sidebar and
  pick an organization.
* To create one, choose **Create organization** in the switcher, or go to
**My account › Organizations** and click **Create organization**. Enter
the firm's name, type, and base currency.

## Leave an organization

1. Go to **My account › Organizations**.
2. Choose **Leave** on the organization and confirm.

The owner can't leave (transfer ownership first), and neither can the
organization's only Admin (make someone else an Admin first). Hover the
disabled **Leave** button to see which applies.

## Transfer ownership or delete your organization

Only the organization's owner can do either.

1. Go to **Settings › General** and scroll to the danger zone.
2. Choose **Transfer ownership** and pick another Admin as the new owner,
   or **Delete organization**.

Deleting an organization permanently removes every fund, deal, document,
and LP record. Export your data from Security first. You'll be asked to type
the firm name to confirm.
